Summary

The Personal Assistant will be responsible for providing comprehensive administrative support to our Europe Office.

Responsibilities

SUMMARY OF KEY RESPONSIBILITIES
  • Manage and organize office activities and communications.
  • Coordinate and schedule meetings, appointments, and travel arrangements.
  • Document meeting minutes and notes accurately and comprehensively.
  • Prepare and edit correspondence, reports, and presentations.
  • Maintain accurate and organized filing systems.
  • Manage incoming calls, emails, and inquiries with professionalism and efficiency.
  • Assist in the preparation of financial and operational reports.
  • Entering requisitions into the company’s accounting system.
  • Maintaining and updating databases, client lists and contact information.
  • Assist with travel arrangements to include booking flights, accommodation, transportation and insurance. 
  • Assist with the planning and organization of Marketing events such as conferences, workshops, meetings, and familiarization trips

Qualifications

SUMMARY OF KEY REQUIREMENTS
  • A Diploma or Associate Degree in Business Administration or Marketing.
  • At least 3 years’ proven experience in a similar role.  Experience working in the tourism or travel industry would be an asset.
  • Proficient oral and written communication skills.
  • Meticulous attention to detail and accuracy.
  • Collaborative and a team player.
  • Excellent planning, prioritizing and time management skills.
  • Proactive, shows initiative and able to exercise independent judgment.
  • Problem-solving abilities.
  • Commitment to the highest level of customer satisfaction
  • Maintains a professional, diplomatic, and tactful disposition.
  • The ability to work under pressure and adapt to a rapidly changing environment.
  • Accepts accountability and responsibility.
  • Written and oral proficiency in English. Working knowledge of another language would be advantageous.
  • Handles confidential information with the utmost discretion.
  • Proficient in the use of MS Office suite of applications.
